Why Tax Bills Catch Owners by Surprise and a Simple Way to Stay Ready

Here is a scene I see often. A business has a good year. Sales are up, the owner is proud, and the money is being put back into the business or used to cover everyday life. Then the tax bill arrives, and suddenly there is a knot in the stomach. “Where am I going to find this?”

If that feels familiar, you are not alone, and it does not mean you did anything wrong. Most owner-operators are excellent at running their business. Tax just works in a way that is easy to miss until it lands on your desk. Let me walk through why this happens, and a few simple habits that make it far less painful.


Why the surprise happens

The main reason is timing. You earn money all year long, but the tax on that money is often paid much later. By the time the bill comes, the cash has usually already been spent on stock, wages, equipment, or simply living.

There are really two bills that catch people out:

  1. Income tax. This is tax on your profit. The tricky part is that “profit” and “money in the bank” are not the same thing. You can have a profitable year and still have very little cash sitting around, because the profit went back into the business.
  2. HST. When you collect HST from customers, that money is not really yours to keep. You are holding it on behalf of the government until it is time to file. It is easy to see it land in your account and think of it as income, when it is actually money passing through.

Neither of these is complicated once you see it. The problem is simply that the money and the bill arrive at different times.


A simple habit that changes everything

You do not need a finance degree to stay ready. You need one small habit: set the tax money aside before you get used to spending it.

Here is a plain example. Imagine you open a second bank account and call it “Tax.” Every time money comes in, you move a set percentage into that account and pretend it is not there. When the bill arrives, the money is already waiting. No knot in the stomach, no scramble.

A few tips to make it work:

  1. Separate the HST straight away. A good rule of thumb is to move the HST portion out of your main account as soon as you can, so you are never tempted to spend it.
  2. Set aside a slice for income tax too. The right percentage depends on your business, but putting something aside regularly is far better than putting nothing aside at all.
  3. Do it little and often. Moving a small amount each week or each time you get paid is much easier than trying to find a large sum once a year.

Getting the percentage right

This is the part where guessing can hurt you. Set aside too little and you are short. Set aside too much and you are starving the business of cash it could use.
